Litigation Secretary - West Palm Beach
McDonald Hopkins is seeking an experienced Litigation Legal Assistant to provide comprehensive administrative and litigation support in a fast‑paced, team‑oriented environment. The ideal candidate will have 5+ years of litigation legal assistant or legal support experience in a Florida law firm, strong knowledge of state and federal court procedures, and proven proficiency with Florida e‑filing systems.
Key Responsibilities
- Prepare, format, proofread, and electronically file pleadings, motions, discovery, and legal correspondence in Florida state and federal courts
- Monitor dockets, track deadlines, and ensure compliance with court rules and scheduling orders
- Assist attorneys throughout all phases of litigation; discovery, depositions, hearings, mediations, and trials
- Draft and organize discovery requests/responses, exhibits, and document productions
- Maintain attorney calendars, schedule hearings/litigation events, and provide proactive deadline reminders
- Communicate professionally with clients, courts, opposing counsel, and third-party vendors
- Conduct conflict checks and assist with time entry, billing support, and document management
- Open, maintain, and organize physical and electronic client and case files
- Support trial preparation, including binders, exhibits, witness materials, and filings
Qualifications & Skills
- Minimum 5 years of litigation legal assistant or legal support experience in a Florida law firm
- Strong working knowledge of Florida and Federal Rules of Civil Procedure and court practices
- Proficiency with Florida e-Filing Portal, CM/ECF, and electronic case management systems
- Highly organized, detail-oriented, and able to manage multiple deadlines
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in a deadline-driven environment
- Familiarity with Florida trial and courtroom procedures
- Preferred experience with commercial litigation or other complex litigation matters
- Experience with discovery, depositions, and trial coordination
